Administration & Customer Experience Coordinator

Could you create the kind of experience that makes a care home feel like home?

At Stow Healthcare, we believe that outstanding care begins long before care is delivered. It starts with the warm welcome at reception, the reassuring voice on the telephone, the support offered to a worried family member and the positive experience created for every visitor who walks through our doors.

We are looking for an Administration & Customer Experience Coordinator to join our team and become the welcoming face of our home. This is a rewarding and varied role for someone who enjoys working with people, takes pride in delivering exceptional service and is passionate about creating positive experiences for residents, relatives, visitors and colleagues alike.

As the first point of contact for the home, you will play an important role in helping people feel valued, respected and supported, whilst supporting the Home Administrator with the smooth day-to-day administration of the service.

If you are organised, professional, approachable and thrive in a customer-focused environment, we'd love to hear from you.

About the Role

As our Administration & Customer Experience Coordinator, you will be responsible for creating a welcoming and professional environment that reflects the high standards of Stow Healthcare.

Working closely with the Home Manager, Home Administrator and wider team, you will:

  • Provide a warm, friendly and professional welcome to residents, relatives, visitors and healthcare professionals.
  • Act as the first point of contact for telephone, email and face-to-face enquiries.
  • Build positive relationships with residents and families, ensuring everyone feels listened to, supported and valued.
  • Deliver exceptional customer service, handling enquiries with empathy, professionalism and attention to detail.
  • Support prospective residents and their families, helping create positive first impressions of the home.
  • Maintain a welcoming, organised and professional reception and administration environment.
  • Assist with administration, documentation and record management, ensuring information is accurate, confidential and maintained to a high standard.
  • Coordinate appointments, correspondence and general office activities.
  • Support resident engagement and events, helping to create a vibrant and inclusive community within the home.
  • Work collaboratively with colleagues across all departments to support the effective operation of the home.
  • Take pride in representing Stow Healthcare and promoting the positive reputation of the home within the local community.
  • Available to work weekends
  • 10am to 4pm

About you

We're looking for someone who genuinely enjoys helping others and understands the importance of delivering an exceptional experience at every interaction.

You'll ideally have:

  • Experience in a customer service, reception, administration, hospitality or front-of-house role.
  • Excellent communication and interpersonal skills.
  • A caring, positive and professional approach.
  • Strong organisational skills and attention to detail.
  • Confidence using Microsoft Office and other administrative systems.
  • The ability to manage multiple priorities whilst maintaining a calm and welcoming manner.
  • A proactive attitude and willingness to support colleagues across the home.
  • A commitment to maintaining confidentiality and professionalism at all times.

Most importantly, you'll be someone who treats people with kindness and respect, enjoys working as part of a team and takes ownership for delivering a great experience for residents, relatives and visitors every day.

Experience within a care, healthcare or hospitality setting would be beneficial but is not essential.
